Questions about AI in business
What is the difference between an AI chat and an agent system?
An AI chat answers one question at a time and forgets how you work. An agent system splits the work between specialized agents that keep their instructions, consult your documents, check each other and learn from every correction.
You approve the critical steps. With a chat, the good result comes after several rounds of adjustments, and the next day you have to explain again how you work. In an agent system, each correction is saved in the instructions of the agent that needed it, the company documents (drawings and scans included) form a private AI, and a planner splits multi-step work between specialists. The result is more reliable on long tasks, keeps a record of what each agent did, and uses a bit more AI per query in exchange for getting it right the first time.
| Aspect | AI chat | Agent system (AI Flock) |
|---|---|---|
| How you work | You explain it in every conversation | Kept in the agent instructions |
| Specialization | One generalist for everything | One specialist per type of work |
| Your documents | What you upload by hand; in knowledge bases, only the text | Whole folders, drawings and scans included |
| Multi-step work | You chain it, message by message | A planner splits the steps |
| Data and calculations | Summarizes what you paste | Its own structured memory and code execution to analyze spreadsheets and balance sheets |
| Checks and records | You check; you get a chat history | Every figure sourced and a record of what each agent did |
An example any company understands
A purchasing agent records an invoice without checking the price against the supplier's price list. You tell it once: “always do this before recording.” The agent rewrites its instructions, you review the change as a draft and publish it. On the next invoice it matches each line against the order and the price list, and flags separately the ones that do not add up. With a chat, you would have to repeat that same instruction in every conversation.
When is a chat enough?
For a one-off question, a quick draft or an idea, a chat like ChatGPT or Copilot is very useful. An agent system pays off when the work repeats, has several steps, depends on your documents or needs to be recorded and reviewed.
